General Policies
Payments
They are received through deposits and transfers to the institutional bank account. 50% of the total value is required to reserve the date, and the payment of the remaining 50% must be made until the day after the event. The invoice and bank details will be sent once invoiced, to the email provided.
Service during the event
Includes use of all specified areas during agreed upon hours. The client must indicate the type of event, specific activities and areas to be used when contracting. Any unspecified service is not included. Catering is an additional service.
Regulation of vehicular traffic
Vehicles must not obstruct the entrance and must travel at less than 20 km/h within the facilities. Buses must park at the bottom.
Glamping and social areas
The Glamping has its own social area and clients must use that area exclusively. Private event clients have exclusive use of the Main Social Area, with restrictions on other activities as indicated.
Environmental restrictions
Decoration with balloons and the use of single-use plastics are prohibited. The use of powders or soaps must be consulted. The right to admit objects or substances harmful to the environment is reserved. Failure to comply may result in a penalty.
Aggressive behavior
If the client or their guests display aggressive behavior, attempts will be made to resolve the issue with the client's cooperation. If it remains unresolved, it may be decided not to proceed with the event without refund. The client is responsible for damages resulting from such behavior.
Conditions of use of the facilities
Sanitary facilities
There are 4 bathrooms for women, 2 for men and 2 urinals. 1 bathroom is required for every 70 people, and bathrooms are cleaned every 10 uses to maintain hygiene standards.
Recruitment
The hiring of staff for service at all events is mandatory. The quantity of staff is proportional to the number of attendees, with one person per twenty attendees. Outside food and beverages are not allowed, and the staff can assist with various tasks during the event.
Guest List
The client must provide a list with the names of all people who will attend the event. This list must be delivered in Word format up to five days before the event. Guests not included on the list will have an additional charge to the value of their ticket.
Entry
Presentation of identification card and vaccination card is requested at the entrance of the farm. A review will be carried out on each vehicle that enters the facilities. Entry of service providers to the event is free of charge, but the right is reserved to inspect transportation.
Mounting
An earlier access for event setup can be arranged if requested at least twenty days in advance. Early access before the event time is limited to one hour prior to the start time. Guests must depart no later than thirty minutes after the event end time, with an additional charge for overtime.
Visit to the Hacienda
They take place on Fridays starting at 3 PM and last between 30 and 45 minutes. It is recommended to arrive on time using Google Maps or Waze due to the busy schedule.
Rescheduling, cancellation, damages policies
Cancellation
Written notification three months before the event is required to receive a refund (20% of the advance). Cancellations in the month prior to the event have a 10% refund, while within seven business days the advance is not refunded.
Date changes
A date change is allowed subject to availability, due to government restrictions. Changes for other reasons carry a penalty of 40% of the total value and require notification three months in advance, with a date available in the estate's agenda.
Removal of goods and cleaning
All property of the client, guests and contractors must be removed on the day of the event. An additional charge for cleaning and trash disposal will apply if not removed, with rates that may vary depending on the volume and complexity of the cleanup.
Liability for damages
The recreational dance activity must be conducted in designated areas to prevent damages. Any damage will be assessed, and the contractor must reimburse them on the same day as the invoice issuance.
Broken glass policy
Breakage of 1 glass/glass is tolerated, but from the second glass/glass there will be an additional charge for each broken glass/glass. A charge will also be applied for any glasses missing from inventory after the event.
Customer responsibility
Hacienda La Pirámide does not accept responsibility for damages or losses of items left before, during, or after the event. The client is responsible for any damage caused to the hacienda by themselves, their guests, or contractors.
